Patient Service Coordinator
Position Summary
The Patient Service Coordinator in a medical office serves as the first point of contact for patients and plays a key role in ensuring the clinic runs smoothly. This position involves providing exceptional customer service, managing patient appointments, handling insurance verification, and performing various administrative tasks. They are also responsible for greeting patients, answering calls, maintaining accurate records, and supporting the clinical team. Working as part of a collaborative team, this role ensures efficient clinic operations while delivering a positive patient experience.
Expected compensation between $19.49 - $23.38/hour. Compensation will be determined based on relevant experience and skills.
Patient Service Coordinator Essential Functions
- Greet and check in patients as they arrive at the office, making them feel welcome and ensuring a positive patient experience
- Handle patient complaints or concerns in a calm and empathetic manner
- Collect patient information and update records, ensuring all necessary forms are completed before the patient is seen by the doctor
- Schedule, reschedule, and cancel patient appointments ensuring that all relevant information is entered into the Practice Management system
- Verify patient insurance benefits and eligibility for all scheduled appointments
- Document all insurance verification results in the Practice Management system
- Notify patients of any potential coverage issues or out-of-pocket expenses
- Process patient payments for services rendered, including co-pays, deductibles, and other out-of-pocket expenses
- Ensures that daily deposits and designated paperwork are sent to the Business Office each day and that information is complete and accurate
- Prints daily reports to verify insurance authorizations are in place and complete for the patient’s appointment
- Maintain a clean and organized front desk area, ensuring that all patient documents and information are properly filed and secured
- Sorts and distributes mail and inter-office pouches daily
- Prepares clinic signage for Saturday clinic, holidays and days the office is closed
- Work collaboratively with other front desk staff, clinic staff, physicians, and all other departments to ensure a smooth workflow
Other Essential Functions
- Must be willing and able to work a variety of hours and work in the various locations as needed
- Must present self at the workstation, ready for work, at the scheduled time
- Participates in department and company meetings, as requested
- Provide training and support to new staff or less experienced team members
- Performs other duties as assigned
Education & Licensing
- High School Diploma, or equivalent, required
Experience
- Minimum of 2 years customer service experience and/or formal customer service training preferred
- Previous clinic work experience and medical terminology background preferred
