Overview
Ashby Village seeks a detail-oriented and mission-aligned Development & Communications Coordinator (DCC) to support the organization’s fundraising and communications efforts. Working closely with the Director of Development & Communications, this part-time role assists with donor data entry and acknowledgments, helps prepare materials and logistics for fundraising events, and provides essential support in producing Ashby Village’s digital communications, including weekly updates, monthly newsletters, and fundraising campaigns.
This position is ideal for someone who is highly organized, attentive to detail, and enjoys bringing clarity and structure to collaborative projects. Key Responsibilities
Development Operations Support
- Maintain accurate donor records in Salesforce, including gift entry, contact updates, and list generation.
- Prepare timely and personalized donor acknowledgment letters and emails that reflect Ashby Village’s voice and values.
- Generate giving reports and mailing lists to support fundraising campaigns, events, and internal analysis.
- Support logistics for donor events (e.g. RSVPs, name tags, materials, vendor
- communication).
- Assist in preparing development meeting materials.
Communications Support
- Support the production of email newsletters, appeals, event promotions, and member communications using Constant Contact, including subscriber list maintenance.
- Edit, format, and prepare content provided by staff and volunteers for email and web publication, ensuring alignment with Ashby Village’s branding and accessibility standards.
- Follow internal checklists and proofing workflows to ensure accuracy.
- Update content on the Ashby Village website and other websites as needed.
- Provide light support for social media posting and scheduling with guidance from the Director.
- Track basic communications metrics (e.g., open rates, click-throughs) and maintain archives of past campaigns and digital assets.
Administrative and General Coordination
- Maintain project and publishing calendars and timelines related to development and communications.
- Organize and maintain digital files for campaigns, appeals, donor lists, and
- communications assets.
- Assist with scheduling meetings and coordinating communications team newsletter content workflow activities.
- Serve as a warm and responsive point of contact for general inquiries from donors, village members and volunteers, donors, community and business partners, and media contacts, escalating as needed.
Skills and Qualifications
Development Support
- Experience working with donor databases (Salesforce preferred) or CRM systems.
- Familiarity with donor acknowledgment processes and fundraising support tasks.
- Ability to handle confidential information with discretion and accuracy.
Communications and Digital Skills
- Proficiency with Constant Contact or a similar email marketing platform.
- Understanding of formatting best practices for newsletters and digital communications.
- Experience updating website content and/or posting to social media platforms.
- Ability to review content, follow internal proofing checklists, and finalize materials for distribution.
Administrative and Collaborative Skills
- Strong attention to detail, organizational ability, and time management.
- Proficiency in Microsoft Office and Google Workspace (Docs, Sheets, Drive).
- Ability to track multiple projects, manage timelines, and maintain digital records.
- Collaborative and responsive communication style; ability to work well with diverse teams.
- Commitment to the mission and values of Ashby Village and interest in supporting older adults.
