Hesperos, Inc., a leader among preclinical biotechnology testing companies, is seeking a dynamic and experienced professional who bridges the gap between senior executive support and sales enablement. The ideal candidate is a proactive administrative professional with a strong background in business administration and a proven track record of supporting sales and business development activities. This role requires the ability to manage competing priorities in a fast-paced, technical environment, and a commitment to driving the growth objectives of the organization.

Working under the direction and guidance of the CEO, the Executive Assistant is the senior level administrative support for the CEO and other executives while acting as a critical liaison for the business development team. The Executive Assistant will communicate, document and support various efforts and in doing so will maintain solid working relationships with internal Hesperos personnel and external clients, partners and suppliers. The Executive Assistant must exercise critical judgement, confidentiality, and considerable initiative in administrative and customer relationship management, and anticipate the needs of the executives by independently researching and determining the appropriate documents, reports, and policies needed for meetings and business development activities.

 

In this role you will be responsible for:

  • Managing confidential and time-sensitive matters with a high level of discretion and professionalism.
  • Maintaining and updating the Customer Relationship Management (CRM) system, ensuring accurate client data, tracking sales pipelines, and generating reports to support strategic decision making.
  • Preparing both internal and external correspondence, documents, spreadsheets, and presentations in support of the objectives of the organization.
  • Appointment scheduling and contact management for Hesperos executives and resolving any conflicts for meetings and travel as well as monitoring other critical deadlines.
  • Arranging travel itineraries for executives along with preparing expense reports.
  • Promptly addressing communications including the need to respond to requests outside normal business hours.
  • Other duties that may be assigned by the CEO (or other executives).

 

The successful applicant must possess the following minimum qualifications:

  • 3+ years’ experience in executive support with, ideally, 1+ year(s) experience driving and/or supporting business development and/or sales activities. 
  • High school diploma or equivalent (some college or a bachelor’s degree is a plus)
  • High proficiency in MS Office applications (e.g., Word, Excel, PowerPoint—subject to confirmatory testing)
  • Proficiency with CRM software
  • Ability to communicate effectively and professionally with strong written and verbal and effective listening communication skills.
  • Strong business sense with ability to decipher priorities and make sound judgement calls. 
  • A proactive, detail-oriented, well-organized and adaptable mindset.

Ideally, the successful applicant also will possess (experience with/in):

  • Project management or HR (and other) software applications
  • Preparing governmental (or privately funded) grant submissions
  • Scientific, technical literacy
  • A fast-paced technology organization (biotech or CRO experience is a plus).
