Front Desk Receptionist
<Overview>
The Front Desk Receptionist at our law firm is responsible for providing exceptional customer service and administrative support to ensure smooth daily operations. This role serves as the first point of contact for visitors and callers. The ideal candidate is professional, reliable, detail-oriented, and able to handle a variety of administrative tasks efficiently.
<Key Responsibilities>
- Greet and check in visitors, clients, and vendors in a welcoming manner.
- Answer and route incoming phone calls in a courteous and prompt manner; take accurate messages as needed.
- Maintain tidy and organized reception area and conference rooms. Sort, distribute, and prepare incoming/outgoing mail and packages.
- Prepare, scan, print, fax, and file documents in both digital and physical formats.
- Assist with document preparation.
- Support staff with clerical tasks and special projects as needed.
- Receive, sort, and distribute daily mail/deliverables.
- Accurately prepare documents for FedEx and Postal delivery.
- Order office supplies and maintain inventory of supplies.
<Qualifications>
- Prior experience with scanning documents is required. Preference is given to experience in a law firm.
- Strong customer service attitude.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and comfortable with office technology.
- Hands-on experience with office equipment (scanners, printers, copiers, etc.)
<Work Environment>
This role is fully onsite in Lake Success, Monday - Friday 9 am - 5 pm. It involves regular interaction with employees, visitors, and clients. The receptionist will be seated at the front desk and may perform light physical tasks such as organizing mail or handling small packages.
