External Affairs Coordinator

We are now hiring for a full-time External Affairs Coordinator to join our Headquarters (HQ) Team!

ESSENTIAL JOB FUNCTIONS: 

  • Assist the Director of Events with event planning tasks and logistics including:
    • Send and manage calendar communications to appropriate Committee lists.
    • Create event meeting materials- agenda, notes, mailings, and other event reports required by the External Affairs Department or Committees.
    • Manage Streams of Revenue- solicit, collect, and organize gift-in-kind donations for silent auction, raffles etc.
    • Prepare check requests and invoices.
    • Conduct follow-up for event specific payments, pledges or refunds.
    • Work with the Communications team to develop marketing materials regarding events- invitations, program book, etc.
    • Understand application and coordination of multiple event technologies used in planning, execution, and reporting. Specifically, design of the auction technology platform
    • Design necessary event collateral- PowerPoints, etc.
    • On-site support at all fundraising events
  • Assist the Director of Events and the External Affairs Dept. efforts with Board Members and non-event Committees as assigned- including setting meetings, preparing meeting agendas, meeting notes or minutes, and internal/external financial reports.
  • Executes follow-up as needed or requested that will lead to greater fundraising outcomes for the agency.
  • Manage the Metropolitan and Legal Aid Associate Board (MLAB)
    • Schedule and lead MLAB meetings
    • Assist MLAB annual fundraising activities
    • Cultivate existing and new members of the Associate Board
  • In conjunction with the Director of Events, assist in handling requests from Board Members, staff, and volunteers as related to events and/or department needs.
  • Assist in coordinating with other External Affairs staff to ensure event website pages and any event technology platforms are up-to-date and accurate.
  • Assist with gift processing: general Salesforce training and event specific/gifts-in-kind.
  • Assist with other External Affairs functions including mailings, cultivation events, Board Meetings, internal meetings, office needs, and luncheons as needed.
  • Other duties as assigned.

QUALIFICATIONS:

  • Bachelor’s Degree from an accredited college or university preferred.
  • Two to three years experience in non-profit events/planning with increasing levels of responsibility required.
  • Ability to manage complex projects with excellent organizational skills and technical expertise.
  • Ability to balance multiple requests and priorities.
  • Excellent written and oral communication skills.
  • Proficiency with Microsoft Suite (Excel, PowerPoint, Word).
  • Experience with NFP CRM systems- Raiser’s Edge, Salesforce, etc.
  • Highly motivated and organized; self-starter with the ability to take direction and participate effectively in a team environment.
  • Ability to work effectively with diverse individuals and groups.
  • Ability to work some evenings and/or weekends as needed
  • Reliable transportation preferred

PHYSICAL DEMANDS

  • While performing the essential duties of this job, the employee is required to sit and stand for sustained periods of time, frequently talk, hear, use hands and fingers to feel, handle and operate objects or controls, and occasionally stand, bend, stretch, stoop, kneel and crouch.
  • The employee is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures, transcribing and viewing a computer terminal.
  • The employee may occasionally lift and/or move up to 50 pounds.

 SALARY:

  • Compensation is commensurate with years of related experience, position requirements, and candidate qualifications. The average salary for the position is $46,000.
