Job Summary:
The Interlibrary Loan (ILL) Assistant is the primary contact person for ILL activities (document delivery and ILL) for students, faculty and staff. Additional key duties within the Access Services department include public service, technical processing, circulation for borrowing and lending activities, and ILL reporting. Works both independently and collaboratively with library colleagues - in their areas of responsibility with minimal supervision, exercises discretion in applying rules, regulations and procedures. Reports to the Head of Access Services.

Job Responsibilities:

Access Services and Library Operations 50%

• Provides a high level of service to members of the University of San Francisco community and campus guests.

• Opens and closes the library at appointed hours and as directed by library administration.

• Performs other duties within LA IV classification, including identifying materials in need of repair or replacement, processing holds, recalls, departmental notices, etc.

• Assists with shelving, shelf-reading, searching, and shifting of materials within the stacks; assists with the retrieval/return of materials from Lone Mountain storage and stacks areas, as well as recalling of materials from Iron Mountain remote storage facility.

• Supervises student workers and coordinates work with other Access Services staff and the AS OPE lead.

• Creates and maintains documentation of workflows, procedures, and policies in collaboration with other team members.

• Supports and as appropriate delivers specialized staff and student training (e.g., shifts in stacks, public service desk functions, etc.).

• Assists with support of circulating AS technology (e.g. laptops, peripherals, and accessories).

ILL and collection support 40%

• Processes interlibrary lending requests in a timely and efficient manner via systems such as OCLC, ILLiad, RapidILL, Innovative Interfaces/Sierra and others.

• Supports and trains Access Services staff who participate in ILL activities.

• Responds to ILL-related questions from patrons (students, faculty, and staff) as well as institutions (lending and borrowing libraries, vendors, library departments, etc.) in a timely, effective and proactive manner.

• In consultation with the department head, designs and implements programs to increase use and awareness of ILL.

• Documents and updates USF lending/borrowing policies and procedures in the ILL procedures manual.

• Performs periodic evaluation of ILL workflows and coordinates realignment of workflows, as needed.

• Prepares statistics using online resources (OCLC & ILL/ILLiad, etc.) for importing data and compiling records for departmental reports.

• Participates in ILL workshops and actively networks with other libraries.

• Participates in staff development activities and stays current with changes in ILL best practices, functionality within OCLC & Sierra software, and other developments in the field. Recommends changes in collaboration with library colleagues and the department head.

Library Support and Activities 10%

• Participates in library cross-training initiatives.

• Participates in professional development activities and stays current with Access Services/Circulation best practices.

• In consultation with the department head and OPE Lead, participates in library outreach events and displays, and serves on Library and USF committees.

• Communicates and coordinates with other library departments to achieve ILL and Access Services goals of service and resource utilization.

• Performs other duties, as assigned.

Work Hours:

• Working hours: 37.5 hours/week (FT)

• Evening/weekend work will be required.

• Hours are subject to change during holidays, intersession, summer session, final examination periods, and in case of the absence of regularly scheduled personnel and operational needs.

• Hire-in rate: $31.26/hr. Minimum rate after successfully completing the probationary period is $32.82.

Minimum Qualifications:

• Four years of higher education (120 units) or an equivalent combination of education and experience.

• Excellent written and verbal communication skills. Excellent computer skills, including knowledge of Microsoft Word/Excel.

• Must possess excellent organizational skills, including ability to maintain records with great attention to detail.

• Self-motivated with initiative and flexibility in order to respond to changing needs and priorities.

• Capable of working with minimal supervision; able to make decisions independently within the framework of departmental and library policies and goals.

• Able to analyze, evaluate, assess and solve problems, improve services, policies and procedures.

• Demonstrated experience or interest in working with diverse groups, cultural humility and ability to support the advancement of DEI initiatives.

Preferred Requirements:

• Equivalent of 3 years performing work relevant to the position in a college, university library (preferred) or public library, including knowledge of basic access services/circulation routines in an automated ILS environment (e.g., Innovative Interfaces Sierra).

• Experience using Library of Congress Subject Headings, Library of Congress Classification Schedules, OCLC Connexion and library Discovery platforms.

• Demonstrated troubleshooting and problem-solving skills. Experience marketing ILL services to campus stakeholders.

• Experience instructing users in requesting materials, utilizing different library request interfaces.
