Event Associate
The Northwest African American Museum (NAAM) seeks a dedicated and detail-oriented Event Associate to join our events team. This pivotal role supports the planning and execution of rentals and museum-hosted programs, ensuring smooth operations and exceptional client experiences. As an Event Associate, you will assist in event logistics, client relations, and on-site coordination, contributing to NAAM's mission of celebrating and preserving African American culture and history. This role offers hands-on experience in event management within a dynamic and meaningful environment.
Essential Job Duties (other duties as assigned):

Event Coordination
- Assist in planning and executing diverse events, including receptions, galas, and educational programs.
- Serve as the on-site liaison during events, ensuring smooth communication between clients, vendors, and museum staff.
- Develop event timelines, layouts, and checklists in collaboration with the Operations Manager.
- Uphold museum policies during events and promptly address any issues.

Customer Service
- Provide outstanding service to clients and guests, ensuring all interactions reflect the museum’s mission.
- Act as an ambassador for NAAM by sharing information about current exhibits, programs, and the museum’s broader vision.
- Foster strong relationships with clients through clear communication and attentive service.

Facilities & Equipment Management
- Oversee the use of museum spaces during events, ensuring cleanliness, safety, and adherence to guidelines.
- Manage museum-owned equipment, including AV systems, tables, and chairs, ensuring proper use and return.
- Conducted pre- and post-event inspections, reporting damages or maintenance needs to the operations manager.

Administrative Support
- Respond to client inquiries and provide detailed, professional assistance.
- Maintain the event calendar, schedule walkthroughs, and track contracts, payments, and insurance deadlines.
- Generate post-event reports summarizing attendance, client feedback, and lessons learned.
- Monitor and manage the rental inventory, reporting shortages or damages promptly.
Qualifications:
- Strong communication, problem-solving, and interpersonal skills.
- Proficiency in Google Suite (Docs, Sheets, Slides); experience with event layout software is a plus.
- Physical ability to stand for extended periods and lift up to 50 lbs.
- Flexibility to work evenings and weekends based on rental schedules.
- Interest in African American history and culture is a plus.
- Reliable transportation; valid MAST and Food Handler’s Cards preferred.
