Venue Manager

Position Summary:

Overlook Barn is looking for a dedicated, customer-focused, and detail-oriented Venue Manager to join our team. This role is central to the venue's operation, ensuring a seamless customer experience from initial contact to event execution.

KEY RESPONSIBILITIES

Our Venue Manager is responsible for the overall operations of our event space. They serve as the main point of contact for clients and vendors while also overseeing the exceptional team that ensures our venue operates seamlessly. They cultivate and maintain positive relationships with clients and vendors, fostering collaboration and harmony. More detailed duties below: 

Client Acquisition 

- Conduct engaging venue tours, initiate and deliver contracts, and conduct contract review calls to secure new clients.

- Capture behind-the-scenes content for marketing efforts. 

Client Event Prep and Execution

- Serve as the primary point of contact with couples and their vendors leading to the event day. Email payment reminders and information leading up to the event, conduct 30-day out meetings, answer questions, schedule vendor arrivals and pick ups, attend rehearsals, execute events. 

- Serve as our primary venue host for event days and keep an eye out for property or process improvements to make our wedding days even more successful. 

- Oversee the execution of events, ensuring vendors comply with venue guidelines. 

Venue and Team Management

- Lead preparations for the event season, including maintenance schedules and supply tracking.

- Manage the housekeeping team, maintenance team, events team, and setup team and oversee venue and accommodation readiness.

- Serve as the primary liaison and communicator between the owner and operations. 

- Facilitate the team's onboarding and training, ensuring all staff align with our service standards.

Miscellaneous

- Attend professional meetings to expand the venue's network and reputation.

- As a small organization with a small team, there are other miscellaneous duties needed periodically such as dropping off rack cards to chambers of commerce, networking with local businesses, and picking up supplies (reimbursable) to name a few.

Communication: Are you a strong communicator? We're seeking someone who can convey information clearly, both in writing and verbally. Your ability to actively listen, respond promptly, and adapt your messages to the audience's needs will be essential in your role.

Detail-Orientation: Do you have a keen eye for details? We're in search of someone who pays close attention to specifics, ensuring accuracy in all tasks and processes. Your knack for details will be beneficial both with maintaining and improving our property and with guiding our couples and their vendors from booking through event days. 

Customer Service Orientation: Are you passionate about providing exceptional service? We're looking for someone with a genuine commitment to meeting our clients' and guests' needs. Your willingness to go the extra mile with a positive, solution-oriented approach is a must.

Calming Presence/Peacekeeper: Can you remain composed under pressure? We need someone with a calming presence, who excels at defusing and resolving conflicts or stressful situations. Your ability to alleviate tension and restore a sense of calm is crucial leading up to, and during events. 

Proactive: Are you a proactive problem-solver? We're seeking an individual who takes initiative, identifies opportunities for improvement, anticipates needs, and addresses potential issues before they become challenges. Your ability to identify opportunities for improvement and prevent problems is key to ensuring smooth event operations.

Management: Are you an effective organizer and leader? We're looking for someone who can oversee, direct, and coordinate resources, people, and activities to achieve our objectives and goals. Your skills in planning, organizing, delegating, and monitoring tasks and responsibilities will be instrumental in the successful execution of events and venue operations.

Qualifications

Event Management Experience: Proven experience in event management or a related field, including wedding and special event planning.

Abilities: Ability to stand for long periods of time, ability to lift 20lbs

Skills: Familiarity with Google Suite, or ability to learn quickly, is highly preferred.

Reliable transportation to Beech Mountain year-round is a must.

About Overlook Barn

We were established in 2015 when the owners themselves were married at Overlook Barn in its inaugural event. The original barns were built in the 1960s by the owner's grandfather and were used as a horse stable and hay barn for horse trail rides on Beech Mountain. Overlook was lovingly renovated by the owner's father in 2015 with couples in mind, and has been a wedding venue ever since. To say it has a rich and loving history is an understatement. This is not a corporate enterprise; to be a part of this tight-knit team means truly being a part of something special.

Working Hours

This is a full-time position and requires weekend work.
