AAU Junior Olympics - Hospitality Coordinator
EVENT SUMMARY
The AAU Junior Olympic Games are known as the largest youth multi-sport event in the United States. It consists of roughly 15,000 youth participants from around the country competing in 12+ sports and includes an action-packed Celebration of Athletes. In attendance are teams, coaches, family, and friends, many of whom make the trip to Houston their family’s summer vacation. This summer will mark the 59th anniversary and the 4th time Houston has hosted the Games, so the bar is set high. Help us exceed expectations and show AAU everything that the city has to offer. POSITION DESCRIPTION
This position will support the Athlete Affairs and Accommodations team in various aspects of planning and onsite event execution. The work will be done in a fast-paced, results-driven environment led by an innovative and experienced staff of event and marketing professionals. This role will serve as an independent contractor between April 16, 2025 - August 15, 2025, with a specific focus on the 2025 AAU Junior Olympic Games.
Please note: this role is a contract, non-benefit provided position.
General Responsibilities
- Attend all in-person meetings and site visits as required to complete the job.
- Keep accurate records and clear documentation for all areas and responsibilities assigned.
- Coordinate the planning, organization, and execution of the Event’s Hospitality program at all event venues.
- Coordinate hospitality logistics including headcounts, timelines, and vendor procurement.
- Provide oversight and leadership to part-time event staff onsite throughout the event.
- Collaborate with internal and AAU staff to ensure all hospitality needs are met, including staff, officials, volunteers, and other related groups.
ADDITIONAL EXPECTATIONS
- Available to support onsite throughout the entirety of the event.
- This includes but is not limited to all load in, load out, and competition days of the event.
- Maintain high motivation, focus, and standards throughout the project term.
- Individual must be able to take initiative to troubleshoot and solve problems.
ADDITIONAL QUALIFICATIONS
- Relevant job experience (1+ year) preferred
- Ability to communicate both orally and through written work a must
- Ability to multi-task on several projects in various stages of completion
- Apply organizational, interpersonal, and problem-solving skills consistently
- Detail oriented and able to multi-task
- An enthusiastic team player with a competitive drive willing to work flexible hours to include evenings, holidays, and weekends when needed—physical requirements on occasion.
