The Opportunity:
We are looking for a motivated Sales Operations and Accounting Assistant to help streamline procurement, compliance, and logistics processes. This role is perfect for a detail-oriented, tech-savvy college student who is eager to learn about financial operations, federal contracting, and business administration. You’ll have the opportunity to gain hands-on experience in invoicing, bid preparation, and customer service while working closely with senior team members.
Key Responsibilities:

Customer Service & Sales Support:
- Respond to customer inquiries and provide follow-ups on sales opportunities.
- Assist with order processing, invoicing, and tracking sales transactions.
- Maintain positive relationships with clients and vendors.

Accounting & Administrative Support:
- Process invoices, payment requests, accounts payable, and accounts receivable.
- Research account status, verify customer records, and resolve billing discrepancies.
- Assist with budget tracking, inventory monitoring, and financial reporting.

Bid Preparation & Government Contracting Support:
- Support bid and proposal submissions by gathering necessary documentation.
- Assist in ensuring compliance with procurement regulations and company policies.
- Help maintain accurate records for federal and state contracting opportunities.

General Office & Administrative Tasks:
- Perform data entry, scan and organize digital records.
- Monitor office supplies and assist with inventory management.
- Schedule meetings, arrange travel, and assist in planning training sessions.
- Answer phones, greet visitors, and manage incoming/outgoing mail.
Qualifications:
- Currently enrolled in a college or university majoring in Business, Accounting, Finance, or a related field.
- Strong interest in accounting, sales operations, customer service, or government contracting.
- Basic understanding of accounting principles, invoicing, and financial processes (QuickBooks experience is a plus).
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with CRM systems (e.g., Salesforce) is a plus.
- Strong customer service skills and the ability to communicate professionally.
- Highly organized, detail-oriented, and able to multitask effectively.
- Ability to work independently while also collaborating with a team.
