Order Management Specialist

Base pay range

$40,000.00/yr - $49,000.00/yr

  • Main products include industrial valves, process instrumentation, filtration, electrical equipment, hard to find obsolete parts, etc…
  • Key customers include Siemens Energy, Mitsubishi Power Americas, etc…

 

Office Hours:

  1. 8:00AM-5:00PM Eastern Monday to Friday with a one hour lunch break.
    1. Must have ability to work additional hours when necessary to meet project deadlines.
  2. Neomark is a standard sales office environment and employees work full time in-office.

 

Position: Order Management Specialist ; Entry Level

              

Essential Duties & Responsibilities:

  • Process Customer Orders
    • Review orders for accuracy (specifications, drawings, prices,lead times, shipping, inspections, etc.)
    • Acknowledge the orders according to the customer’s procedures and Web based interface portals.
    • Add the orders to the production MS Access database
    • Create the vendor purchase orders in QuickBooks and e-mail to vendor contact
  • Manage Orders during manufacturers production cycle:
    • Hold regularly scheduled conference calls with both customers and manufactures to ensure status of all Documentation and equipment production is on schedule to meet deadlines.
    • Manage any changes requested by customer or any delays/issues that arise.  Properly document and track these changes in database and keep customer informed of status.
  • Manage Documentation/Testing Reports from manufactures:
    • Track, collect and organize all required documentation by due dates
    • Send documents to technical sales team for their review, approval and submission to customer.
    • When needed, support technical sales team with submission documents to customer.
  • Shipping and Logistics:
    • Schedule and manage shipment of all equipment to both International and Domestic locations.
    • Follow all customer provided instructions and manage and complete all shipping documents.
    • Utilize all customer Web based interface portals.
    • Receiving, inspecting & repackaging equipment shipped to Neomark
  • Invoicing and Payments:
    • Accounts Payable - enter in bills into QuickBooks and answering accountants’ questions. 
    • Accounts Receivable / Collections - follow up on past due invoices, invoice on different customer portals, receiving payment and taking to the bank and create lien releases. 
  • After Shipment Support:
    • Address any post shipment questions or requests from customers or end users.
    • Manage any warranty claims and coordinate returned equipment to factory for repair or replacement.
    • Internally document and manage any internal quality issues via Non-Conformance Reports (NCR) or Supplier Corrective Action Reports (SCAR)
  • New Quotations:
    • Assist technical sales team when necessary
  • Annual Supplier Reviews:
    • Work with technical sales team to evaluate performance of suppliers (documentation support, on time shipments, order accuracies, after sales support etc..)
  • Office management:
    • answer phone calls
    • incoming mail
    • office supplies

 

Qualifications and Experience:

  • Education:
    • College Degree in related field or 2 years’ experience in similar role is preferred but not required.
  • International Shipping Logistics Experience is highly preferred but not required:
    • Importing/Exporting
    • Incoterms
    • Customs invoicing, Customs clearance
  • Customer Service Driven:
    • Must go above and beyond to exceed customers’ expectations.
  • Deadline Driven
    • All Orders must be highly managed/coordinated to ensure all required ship dates are met for both Documentation and Equipment.
  • Detail Driven:
    • All Orders must be highly reviewed and managed to ensure accuracy of all:
      • Part numbers, quantities and descriptions
      • Documentation/Testing Reports
      • Terms & Conditions (Payment Terms, Warranty Coverage, Liquidated Damages, Shipping Incoterms, etc..)
