Marketing and Proposal Coordinator
The Marketing and Proposal Coordinator supports firm wide efforts in the coordination, production and execution of proposal responses across studios assigned, as well as the department liaison for the assigned studio or studios. The coordinator will work under the direction of the studio leader (s) on each effort, and report directly to the Director of Client Relations. Will also aid in presentation materials for conventions and trade shows, interviews, and other supportive materials as requested.
Responsibilities (others may be assigned):
COMMUNICATION
- Communicate as directed with internal and external team members on task assignments
COLLABORATION
- Work as primary liaison with Studio Leaders on preparing RFP responses and interviews including but not limited to;
- Participate in meetings related to proposal submissions
- Assemble or create graphics, resumes, firm bios, project pages and any supplemental materials requested
- Work with Director of Client Relations and Studio Leaders to develop custom narratives for proposals, as needed
- Participate in quality assurance review process, including editing
- Coordinate timely printing process, including delivery and/or pick up and electronic submission process
- Work with Director of Client Relations and Studio Leaders to translate proposal materials into presentation and interview materials when needed
- Assist in presentation materials for trade shows, conferences, and other supportive materials
- Coordinate conference details including kit of materials for each trade show, and associated PRA sponsored events for each conference as needed, including conference related giveaways, booking, booth set up/take down, shipping of needed materials, stocking and managing inventory for PRA swag, managing edits and printing for printed collateral for each conference, etc.
- Assist with events and special projects as needed by Director
- Assist with project photography coordination, logistics and execution
- Support the Director of Client Relations with a variety of Marketing tasks
STANDARDS AND CODES
- Responsible for updating, maintaining and upholding OnePRA brand standards across offices
- Assist with updating existing templates and resources to be used firm wide per standard of efficiency
- Responsible for updating, maintaining and stocking templates of resources which maintain brand unity across offices
Desired Qualifications/Knowledge:
- Bachelor’s or Associates degree preferred, but commensurate relevant experience will also be considered
- Must be proficient in Adobe Creative Suite, specifically InDesign, Photoshop and Illustrator
- Must be Proficient in Microsoft Office: i.e. Excel, PowerPoint, Outlook, Word
- Strong graphics and digital marketing skills
- Ability to multitask in meeting multiple and competing deadlines
- Ability to take direction well and work as a part of a team
- Excellent interpersonal communication skills, with the ability to communicate effectively and respectfully with all levels of internal and external team members
- Ability to work independently and take initiative to problem solve as needed
- Professional appearance and demeanor at all times, including when representing PRA at off site events and conferences.

Physical Requirements:

Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate technical equipment, read technical information and to analyze complex data, as well as good hearing and speaking abilities to exchange information accurately through emails, on the phone or in person.
Work Environment:
Duties and responsibilities are generally performed in an office setting. Occasional travel to offsite locations to perform work and work-related tasks or to attend meetings may be required.
