Facilities Manager

General Summary

 The Facilities Manager plans, organizes, and maintains Credit Union properties, buildings, equipment, utilities, furnishings and grounds.  Secures bids and negotiates vendor service and supply contracts within prescribed limits.  Ensures that facilities and purchasing functions are completed in accordance with established policies and procedures.  Recommends actions regarding larger repairs, remodeling, and construction needs.  Ensures that Facilities' operations are in compliance with legal regulations including ADA and OSHA specifications. 

 

Essential Functions

The essential functions of this position may include, but are not limited to:

 

  • Monitor Credit Union facilities and properties for necessary repairs, cleanliness and safety; ensure adequate security safeguards are in place; report inadequacies and significant problems to upper management and recommend action for timely resolution.

 

  • Coordinate vendor, contractor, and supplier contracts. Obtain bids and arrange for repair and supply contracts within approved limits.  Research vendors to ensure that supplies, equipment, and services are of acceptable quality, competitively priced, and delivered timely.  Establish and maintain updated lists of alternate vendors.  Continually evaluate vendors/suppliers and make formal recommendations periodically. Ensure that all maintenance agreements are current.    Maintain long-term productive relationships with suppliers and vendors.

 

  • Coordinate maintenance activities.  Oversee development of effective preventive maintenance and regular maintenance programs.  Establish job priorities by evaluating project needs, and time and cost constraints.

 

  • Supervise maintenance, repairs, and alterations of buildings, grounds, and equipment.  Maintain proper heat, cooling, water, power, plumbing, elevator services, etc. at all times.  Ensure that related mechanical equipment operates properly.  Provide miscellaneous "hands on" service as needed.

 

  • Conduct periodic inspections of facilities and assess problems and needs.  Provide maintenance and repair recommendations.  Ensure that facilities are clean, well maintained, and in good repair.

 

  • Responsible for the coordination of preventative, corrective and emergency maintenance to facilities systems; respond to emergency conditions such as roof and plumbing leaks, HVAC and emergency generator issues which may occur outside of normal business operating hours.

 

  • Perform minor repairs and improvements, preventive maintenance, routine maintenance and repair and general housekeeping tasks as required to ensure a safe, clean and efficient environment.   

 

  • Responsible for maintenance of safety and security measures including fire extinguishers, security lighting, handrails, hardware/door operations, security system, rooftop and other areas and maintain records to code compliance of building systems.

 

  • Maintain timely, accurate and compliant maintenance and inspection logs; ensure effective lines of communication with management to report issues, provide status updates, task lists, and other documentation required to support activities and work performed.

 

  • Oversee mail room. Deliver internal mail, courier packages, supplies and information between Credit Union properties to ensure facility and departmental needs are met. Manage shipping, receiving and internal distribution of courier packages

 

  • Travel daily between Credit Union properties as needed for business related errands and/or on-call response. 

 

  • Maintain inventory control of stock room; order supplies, and ensure timely and adequate replenishment of consumable stock to designated areas.

 

  • Order maintenance supplies and maintain inventories to ensure adequate materials are on hand to support preventative maintenance, maintain reports and coordinate internal work requests. 

 

  • Perform all duties in compliance with Credit Union policies and procedures, OSHA and ADA requirements, and applicable local, state, and federal regulations.

 

  • Perform other duties as assigned to ensure efficiency in Credit Union operations and work cooperatively with other departments to support each other in serving Credit Union members.

 

Qualifications

  • High School diploma or equivalent
  • Additional business course work strongly preferred.
  • Driver’s License with clean driving record and reliable vehicle.
  • Minimum of five (5) years of relevant experience required; commercial or corporate facilities maintenance experienced preferred. 
  • General labor skills and strong mechanical aptitude; Proficiency with hand tools and common power tools.
  • Knowledge of work place safety regulations and requirements including OSHA and ADA
  • Direct experience with building equipment systems including HVAC, electrical and plumbing systems desirable
  • Self-motivated with ability to work efficiently with minimal supervision.
  • Developed organizational and time management skills with attention to detail.
  • Must be adaptable to various competing demands and effectively prioritize work in a fast paced environment
  • Must possess basic aptitude with smart phones and basic computer applications, including Microsoft Office and internet navigation.
  • Exceptional interpersonal, verbal and written communication and phone skills
  • Resourceful with strong critical thinking an problem solving skills
  • High level of dependability and flexibility with work hours and work assignments required
  • Ability to work a minimum of forty (40) hours per week.
  • Must be willing to respond to emergency facility needs outside of normal business hours

  • High degree of professionalism with positive and professional image and demeanor
  • Ability to safely operate a motor vehicle; Must possess a valid driver's license and clean driving record
  • Requires daily local travel with use of reliable, personally insured vehicle
