Front Desk Administrator
JOB SUMMARY
Front desk reception/administration in a fast-paced Orthotic & Prosthetic clinic. We are looking for a dynamic, experienced medical administrative assistant who is organized, adaptable, accurate, and detail-focused; someone with excellent problem-solving skills, the ability to multi-task, and who is an effective communicator with great people skills.
We are looking to add a member to administrative staff that is solely focused on answering phones and calling out to patients & providers.
MAIN RESPONSIBILITIES
- Assist with phone answering, scheduling, rooming patients, and customer assistance according to the current Work Routine and TCOP General Office Procedures, including securing all necessary information from patients, referral sources (including referrals when necessary), and insurance companies.
- Secure intake, HIPPA and insurance information.
- Receive sales order and any practitioner instructions after patient visit, and review total cost, insurance information, and estimated patient payment responsibility with the patient, securing all necessary signatures. Schedule required additional appointments.
- Enter patients on Recall List at time of billing AFOs, KAFOs and prosthetics.
- Create new patient
- Enter patient demographic, doctor and insurance information
- Assume primary responsibility for or assist in all out-of-office scheduling including securing all necessary information from patients, referral sources, SNFs, clinics and hospitals.
- Assist Accounts Manager with insurance and patient statement mailings.
- Perform miscellaneous administrative duties for your assigned practitioner(s).
- Verify that all practitioner progress notes and required documentation are present or have been requested and a system is in place for follow-up.
- Manage medical records requests.
- Has/obtains basic knowledge of the Brightree patient management system.
- Other duties as assigned.
JOB REQUIREMENTS/QUALIFICATIONS
- Education or comparable experience in clinic patient scheduling. and office/clinic procedures.
- Knowledge of third party-payer coverage requirements (including Medicare/Medicaid regulations, managed care, commercial insurances, and workers compensation insurance requirements) is preferred.
- Call center experience is preferred.
- Effective computer skills and basic mathematic knowledge are required.
- Sitting, bending, reaching, some lifting, ability to move about the office and lab, ability to operate computer, phone, and scanner.
- Ability to effectively communicate both verbally (in person and by phone) and in writing.
