Summary of Duties:

Under the direction of the Manager, Protocol, Advocacy and Events, the Events Officer (Events and Technical Production) works with internal and external clients to manage the planning, preparation, and delivery of assigned complex events. The incumbent will analyse and evaluate the technical support needs for events; manage the inventory, maintenance, life cycle replacement and storage of all equipment; manage the contracting and procurement process for technical equipment and resources; provide coordination for mission events beyond the technical systems role and supervise facilities support staff and others as needed. 

 

The Events Officer (Events and Technical Production) is required to develop expertise on all technical systems and equipment in the Mission’s inventory for representational spaces. This includes, but is not limited to, audio visual equipment, lighting, sound, and computer systems. This position is responsible to analyse existing systems and provide a detailed evaluation on their efficiency and appropriateness for the Mission. They are responsible to research innovative technologies in related industries in order to make strategic recommendations for upgrades/replacements/repairs, including the management of purchases and rentals as needed. This position is the point of contact for liaising with sister units at the Embassy (such as physical resources and IT) to coordinate and collaborate on hospitality space needs. 

 

Area of Selection:

This selection process is open to applicants legally residing in the Washington, DC metropolitan area at the time of appointment. Candidates must be legally authorized to work in the United States.

ESSENTIAL QUALIFICATIONS

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.

*Language will be assessed further during the process. 

 

Education:

Candidates will be required to provide proof of the completion of their education.

  • Bachelor’s degree from an accredited college or university in technical theatre, computer science, information technology, or a related field

OR 

  • An equivalent combination of education, training and/or work experience in a related field (minimum of 3 years) will be considered in place of Bachelor’s or college degree.

Language:

  • An advanced proficiency level (written and oral) in English.

 

Experience:

  • Minimum 3 years of recent experience* operating and maintaining complex technical, audio visual and/or theatrical systems;
  • Recent experience* as a leader or project manager in a professional environment;
  • Recent experience* managing events or live productions.

*Recent is defined as within the last eight years.

 

RATED REQUIREMENTS

The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.

 

Knowledge:

  • Advanced knowledge of events planning, including budget development and reconciliation
  • Advanced knowledge in operating, maintaining and troubleshooting technical equipment and audiovisual systems;
  • Knowledge of procurement process

 

Competencies:

  • Effective interpersonal skills;
  • Organization and coordination;
  • Judgement and discretion

 

Abilities:

  • Ability to communicate effectively orally and in writing;
  • Ability to manage multiple priorities with tight deadlines;
  • Ability to take initiative to identify, troubleshoot and solve problems;
  • Ability to coordinate and oversee the work of contractors and/or staff

 

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  • An intermediate level proficiency (oral and written) in French;
  • Recent (in the last five years) experience managing a direct report or team.
  • Experience in a corporate or diplomatic environment
  • Experience analysing technical equipment standards and making recommendations for equipment upgrades/repairs/replacements;

 

Operational Requirements:

  • Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.50 hours per week in the office.
  • Overtime, including early mornings, evenings and weekends, will be required with advance notice.

 

Conditions of Employment:

Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.

- Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.

- Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.
