Your Mission: The Sun Health Foundation's Estate Administrator serves as a key team member responsible for providing administrative and programmatic support to the Foundation fundraising team. Special focus on tracking estate gifts as well as overseeing the Charitable Gift Annuity Program.

Key Responsibilities:

  • Oversee the processing of planned gifts, realized bequests, and charitable gift annuities.
  • Responsible for comprehensive management and oversight of multiple estates simultaneously, ensuring detailed records of estate progress are maintained and providing regular updates to senior leadership within the Sun Health Foundation (SHF). Collaboration with estate planning attorneys, trustees, financial advisors, and other professionals is essential for tracking the status of estate settlements and confirming the accuracy and completeness of all documentation.
  • Manage charitable gift annuities to ensure that payments and distributions adhere to the terms outlined in the annuity contracts and engage in independent outreach efforts with professionals who advise clients on philanthropic giving to enhance support for SHF.
  • Maintain sensitive and confidential documentation, including wills, trusts, and charitable gift agreements; prepare periodic reports on the progress of estate distributions and related matters for foundation leadership.
  • Oversee and grow the Council of Professional Advisors by managing activities, presentations, and meetings; cultivate and solicit support from Professional Advisors and their clients and steward existing relationships; work independently in outreach efforts to other professional advisors who guide clients with philanthropic giving.
  • Collaborate with Directors of Philanthropy and professional advisors to leverage opportunities for expanded blended gift proposals and to enhance the cultivation of planned giving prospects. Acting as the estate planning subject matter expert (SME); manage planned giving records in the foundation's CRM and Crescendo systems, ensuring proper documentation and database management.
  • Establish and maintain both paper and electronic filing systems, draft donor communications, and oversee the development and dissemination of presentations. Keep printed and online resources for planned giving up-to-date and remain informed on estate and gifting techniques, tax law, and charitable trends to maintain compliance and efficiency within the foundation's practices.
  • Provides all customers/audiences of Sun Health with an excellent service experience by constantly demonstrating Sun Health behaviors and values each day.

Your Qualifications:

  • Bachelor's degree preferred.
  • Experience in a related field such as administration, trust management, or probate law (legal or paralegal experience preferred) required.
  • 2 years of direct estate planning experience, trust administration, program development and coordination or related experience preferred.
  • Current or ability to obtain a Level 1 Fingerprint Clearance Card is required.
  • Ability to travel in own vehicle, current Driver's license and auto insurance is required.
  • Experience working closely with multiple stakeholders including donors and volunteers.
  • Experience in outreach, networking, or business development within the legal, financial, or nonprofit sectors.
