Job Overview: As an Administration Assistant, you will play a crucial role in ensuring the smooth operation of the office. You’ll be responsible for a variety of administrative tasks, including managing schedules, maintaining office supplies, assisting with correspondence, and supporting various teams within the company. Your excellent organizational and communication skills will directly contribute to the efficiency of our daily operations and overall success.

Key Responsibilities:

Provide administrative support to management and various departments, including scheduling meetings, managing calendars, and organizing travel arrangements.

Handle incoming calls, emails, and correspondence with professionalism and courtesy.

Assist in preparing reports, presentations, and other documents as needed.

Maintain and organize office supplies, ensuring they are stocked and readily available.

Assist with maintaining office filing systems, both digital and physical.

Manage office equipment and coordinate maintenance or troubleshooting when necessary.

Support HR functions, such as employee onboarding and maintaining employee records.

Assist in coordinating company events, meetings, and conferences.

Handle data entry tasks and assist with general office administration to ensure smooth workflow.

Act as a point of contact for visitors, clients, and vendors, creating a welcoming and professional environment.

Required Skills and Qualifications:

Proven experience as an administrative assistant or in a similar role.

Strong organizational skills and the ability to multitask effectively.

Excellent communication skills, both written and verbal.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.

Ability to maintain confidentiality and handle sensitive information with discretion.

Strong attention to detail and accuracy.

Ability to work independently as well as part of a team.

Positive attitude and strong work ethic.

High school diploma required; additional qualifications in office management or related fields are a plus.

Preferred Qualifications:

Experience with office management software or tools (e.g., Google Workspace, Slack, Asana).

Familiarity with basic accounting or bookkeeping tasks is a plus.

Previous experience in a fast-paced office environment.
