Job Summary:
This recruitment will be used to fill one full-time Executive Support Specialist 2: Graduate Program Assistant position for the School of Public Policy at Oregon State University (OSU ).
The Graduate Program Assistant will provide comprehensive support and assistance to the Graduate Director in managing the administrative aspects of the graduate programs within the School of Public Policy (SPP ). This position will play a crucial role in ensuring the smooth operation and success of the graduate degrees and certificates offered by the School. The Graduate Program Assistant will collaborate closely with the Graduate Director, Assistant to the SPP Director, faculty advisors, SPP staff, and other stakeholders to enhance programmatic offerings, streamline processes, and support student engagement and success. The Graduate Program Assistant will be involved in the creation and implementation of the Development & Marketing Initiatives that SPP will be engaged in, which includes all recruitment and outreach activities. The Graduate Program Assistant will be highly visible and a key part of our leadership team, will exercise independent judgment and make a variety of sensitive decisions. This position will function as a liaison between our graduate students, ASBC Finance and HR, and other Departments and programs on and off the OSU campus.

What You Will Need
• Strong organizational, administrative, and communication skills.
• Ability to work effectively in a team and collaborate with diverse stakeholders.
• Attention to detail and ability to manage multiple tasks and deadlines.
• Proficiency in data management, analysis, and reporting.
• Familiarity with higher education systems and processes.
• Experience working with sensitive or confidential documents.
• Excellent organization skills and ability to prioritize and meet deadlines.
• Customer service experience with both internal departments and external/general public customers.
• Proficient in Excel, MS Word, and Outlook (or similar software).
• Excellent verbal and written communication skills.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
What We Would Like You to Have
• Bachelors Degree in related field
• Previous experience in a graduate program coordination or support role.
• Knowledge of graduate program administration and policies is desirable.
Working Conditions / Work Schedule
Typically 40 hours per week, M-F, 8am – 5pm. This position will occasionally attend special meetings or events and may occasionally work a flexible work schedule. General office setting. Extended periods sitting/standing at a workstation and working on a computer.
