We are seeking an accounting assistant/junior bookkeeper with a client service background for a busy financial services law firm. This is an in-house position, 8 hour shift, Monday through Friday.
The junior bookkeeper will assist the accounting team with client calls, follow-up reminders regarding payments, account status, and payment receivable requests by phone and email to clients on their payment history and program status. You will be trained on the duties of the position.
Job duties include:
- Speaking with clients. MUST BE COMFORTABLE MAKING A HIGH NUMBER OF CALLS TO CLIENTS DAILY.
- Discussing client matters and updating information in the client database.
- Setting up new accounts and ensuring timely payments are made by/for clients regarding their matters.
- Creating a positive experience for clients and communicating with them about their matters by phone and email.
- Acting as a liaison between the firm and its clients and their creditors, assisting with account questions, billings, and updates on files and that clients make payments.
Responsibilities include:
- Ensuring all payments are accurately reflected on the payment application and CRM database.
- Ensuring that payments are processed within contract terms.
- Receive, record, and process client bills for payment following the company's policies and procedures.
- Reviewing all payment materials for accuracy and timeliness.
- Updating all client information and communicating with other in-house staff accordingly.
- Verifying and obtaining all necessary approvals on payment change requests.
- Acting as a liaison between client and accounting department and other in-house departments.
- Preparing pay-off requests and balance requests from clients.
- Tracking client payments to ensure all payments are made timely and collect past due accounts.
- Navigating various databases and applications to accurately and quickly capture and maintain records of customer transactions, inquiries, and comments.
- Contacting clients for payment resolution by phone and email.
- Negotiating payment arrangements with large banks and collection agencies for clients.
- Recording and reconciling payments and updating the database.
- Resolving payment discrepancies and communicating with law firms, collection agencies, large national banks, and lenders.
- Maintaining accounts and records appropriately, including emails, mailing, and files.
- Producing reports as required by management.
Required Skills:
- Proficient data entry skills.
- QuickBooks Experience A Plus!
- Computer skills with recent and extensive use of Microsoft Office Suite, including Word and Excel.
- Comfortable with doing daily calculations.
- Good listening and communication skills, written and oral.
- Attention to detail and time management skills.
- Ability to work independently in a high volume and active office environment.
- Ability to communicate articulately and efficiently with other people within the company and work with a team.
- Articulate and well-versed in receivable management.
- The ability to manage multiple phone calls and keep inbound and outbound phone logs organized.
- An individual with attention to detail, focused, dedicated, mature, and committed will thrive in this fast-paced office environment.
